Abstract
The development of Q-slot: Department of Computer Studies Consultation Queue
and Printable Clearance Form in Cavite State University Bacoor City Campus provides a
system that is beneficial and efficient to the department, faculty and students. In terms of
managing the department's announcement of activities, queue management for
consultation schedule and payment transaction, the system aims to realize its objectives.
This system is proposed in order to give better service allowing the faculty and
students to have an automated consultation queue and printable clearance form. It will cover
only the administrator and faculty members can manage user accounts and student
information. The system has three modules: Print Management Module, Queue
Management Module and Announcement Module.
The Print Management Module manages the distribution of clearance accordingly
with the records of the student’s payment status. It requires the payment for society fee, 50
pesos and Junior Philippines Computer Society (JPCS) fee, 100 pesos, for a student to be
able to print their own clearance. The student must get clearance queue ticket. Once the
number is called, the student shall input the student number. To print the clearance form,
the student should insert 1 peso coin. In case of reprint, the student has to insert 10 peso
coin. The system can generate report from daily, weekly and monthly numbers of student’s
printed clearances. This module contains all the information relevant in the use of system.
The Queue Management Module was created to build an efficient relationship
between the instructor and student through an organized queue. The queue holds two
processes. One for clearance printing, it is the first requirement for the student to get a
clearance form. Another is for consultation, it contains the purposes where in the student
can request for an appointment. The purpose of consultation may be for enrollment
procedure, grade consultation, subject-matter concern, thesis advising, completion of
grades and others. This module records the number of faculty and student communication
within the department facility.
The Announcement Module generates announcements from the campus
administration, department and the society. It displays the queue window, the list of queue
numbers and the events to be announced. The module provides significant information.
The 4GT model was the methodology used in development of the system. This
involved requirements gathering, design strategy, implementation and testing. The system
was developed through the use of various development tools. The system used Microsoft
Visual Basic 2017 and 11.0 SQL Server 2012 as the database. Windows 10 Professional
as the operating system and Microsoft Word 2010 were used for documentation of the study.
The Multi Coin Acceptor Selector was used for the hardware part.
